The Challenge

Inherited processes from the parent company resulted in:

  • Disjointed Employee Experience: Fragmented tools and workflows hindered efficiency.

  • Inadequate Analytics Infrastructure: Lack of cohesive data systems impeded consistent service delivery.

  • Lack of Unified Engagement: Global Business Services (GBS) interactions were inconsistent and siloed.

Research & Insights

Through 25 qualitative interviews with stakeholders and end-users, we identified key pain points:

  • Decentralized Support: Employees navigated a convoluted network to seek assistance, consuming valuable time.

  • Information Accessibility Issues: Difficulty in locating relevant data hampered decision-making.

  • Overlapping Projects: Concurrent initiatives led to change fatigue and communication breakdowns.

  • Cumbersome Processes: Complex procedures diverted focus from critical tasks.

  • Scaling Challenges: Locally adapted processes conflicted with efforts toward global standardization.

Design Solutions

  1. Centralized Support Platform: Developed a self-service portal for streamlined assistance, reducing dependency on multiple contacts.

  2. Enhanced Information Retrieval: Implemented intuitive search functionalities, granting employees quick access to pertinent data.

  3. Unified Event Planning System: Introduced an integrated tool to manage events, ensuring compliance and efficient information flow.

  4. Scalable Design Framework: Established a cohesive design system adaptable to global standards, facilitating seamless process scaling.

Impact & Results

Increased Efficiency: The centralized support platform reduced time spent seeking assistance by 40%.

Improved Data Access: Enhanced search capabilities led to a 30% decrease in time spent locating information.

Streamlined Event Planning: The new system cut event preparation time by 25%, allowing employees to focus more on client relationships.

Facilitated Global Scaling: The scalable design framework enabled smoother adoption of standardized processes across regions.

Reflections & Learnings

This project underscored the importance of user-centered design and the need for adaptable solutions in dynamic organizational contexts. Collaborative engagement with stakeholders and end-users was crucial in developing tools that genuinely enhance productivity and align with business objectives.
